Melbourne Members General Meet & Greet

August 02 2017

Just thought I'd start a forum... The last member-organised general Meet and Greet I think was way back in January. I'm curious if anyone is planning on another before Summer? If so, or if not, what would be a suggested timeframe? I know of some good hotels with private function areas (including the one I used for the event I arranged in March last year). This is probably a little better option than in an outdoor public roped-off area, especially if it is not the warmth of Summer yet. A good time is required to organise so I thought I would see what level of interest there is. CT.

Was in February actually 😊 This organiser is in semi retirement after 3 years of organising them, as is my beautiful partner in crime. Can someone else pleeease pick up the batten? Here are some pearls of wisdom...hope they are of some help. Timing....well its tricky. Avoid AFL finals series (yes I know that not everyone follows the game but hotels & function places hike up the prices during that period), avoid the Melbourne Spring Racing Carnival (for the same readon), and consult the Whats on in Melbourne website to make sure you don't pick a weekend with a massive festival. Early-mid October usually works. The principle venue we have used in the past has served us well....particularly as we have been able to get the space for free. Yep that means no deposit, no minimum spend, nothing up front......and therefore the costs to attend the event are entirely self-determined (drinks & food at your own cost). Getting a free venue is very difficult to find unless you are in the know, or have the gift of the gab....or both 😁 Finding a venue space for 100+ people is also tricky. The CBD is the best option in terms of location....good public transport, parking, choices of hotels for those who stay out for the night. Oh one last point ....being in an area which is public but separate has its advantages....it does help control behaviour. When we used a different venue which was a completely private area with our own bar staff....well I do hope those bar staff have recovered from what they saw that night. Not everyone is as open minded as we are 😈😈 We have not had the same issues when using our regular venue - a totally separate area but semi public. Always happy to pass on more tips if needed 🙃

I know the 14th of October is out as I will be going to the monster trucks ;) As for fully open public or private space venues, I recently went to an event (unrelated to this scene) which involved burlesque and some full nudity, entry costumes that were essentially lingerie and underwear, and some naughty social dancing :) I think venues are quite accepting of a variety of interests. Many host bucks or hen's events. The venue I used last year did have a hire fee, so I did ask for a small tip donation around $5 to help cover the cost. But with even a small hire fee gets you a much bigger selection of suitable venues. - Posted from rhpmobile

CT, good luck organising this event, they are always popular and great to attend. Picking the date the suits most (and you'll never please every one) is always difficult. I'll just make a comment on the date, I would possibly aim for the Saturday night after Saints and Sinners. As Ms Jonesy has stated, most people will make a week end out of it and with people prepared to travel from interstate for S&S on the Friday night, the event on Saturday night would just complete their weekend. As much as I love attending these M&G's I wont be able to make it if it is on that weekend due to being at Bathurst. Good luck, I hope you get a turn up. Warren (L2W)

Everyone is welcome. Although in my M and G experience single men turn up in only small numbers even when sent an invite. Not everyone will be interested in talking to all types of other attendees, but making the effort to show up puts you above all the others that didn't show up. It will be essentially free, so a good social night out at the very least. - Posted from rhpmobile

Really not wanting to put any pressure on you CT, but would be good to have a general idea of venue location, even if it's just that it will be somewhere in the inner city. I'm trying to work out budgets etc., whether I'll be able to afford accommodation on top of flights, and also if the M&G venue will be anywhere close to the Saints & Sinners venue (if I do attend S&S as well, that also depends on budget).

I have a venue all but confirmed as of time of writing (date arranged and just awaiting small deposit). I visited town yesterday to look at a shortlist of venues in person. Yes I did take in mind a comparison compared with the location/s we have used in the past. The venue decided on is located in Docklands, just a short tram ride from Southern Cross station. Walking distance from the tram stop is short, similar to the last venue at the waterfront. In this case we will have the entire upper floor, which holds 150, and which includes the internal space plus extensive sheltered decking (can be open or closed), both areas with plenty of nice seating (smoking area is downstairs outside). Private bar of course. I can make another official forum post shortly and will also make an event listing. Our exclusive space is a four hour booking from 7-11pm, and the premises can stay open further until 1am if needed depending on patronage. Like the last one I hosted, I may go with a donation box of $5 to $10 to cover incidentals (eg prizes or finger food if desired). I don't want an official entry price and collecting it at the door just adds more work. I might ask for assistance on the night eg at the door. Do we want name/username/alias tags? Also like the last one I hosted, a sound system is included and last time I provided a music playlist. I'll be back in a day or two to tell you to book flights/trains/cars/trams/cabs/ubers/bicycles/horses/shoes...

Does this...."Our exclusive space is a four hour booking from 7-11pm" mean we: a) have to move out of the space, or b) other - i.e. non RHP - people can enter the space after 11pm? I ask as there is alwaaaaaaaays a nincompoop at the RHP party who reveals to the general public at the venue that its a swingers party. Queue the stampede of blokes at 11pm looking to pick up 😣

I don't remember such a stampede at previous events? (But I'm technically one of them...) If either, it would be option a), but if patronage is low. The upstairs space is not normally open on a Saturday night except for such functions, which is why we have it. As for the booking period, like the previous Sydney event I went to, it is on a minimum spend basis (although in this case it is cheaper and also expected to have more attendees, so I have no worries there). However, further official extension of the booking period increases the minimum spend. As a venue they close on a pub-type basis ie closing if people have gone, or remaining open until 1am while busy. They said if we still have plenty of people there after 11, they would probably keep our space open for us. The previous venue I remember closed at midnight and few of us were remaining there by then, some heading on to the casino. As for other people around, the Docklands venues I visited said unless there was a sporting game on, Docklands is a ghost town. So it's likely we would have the whole venue mostly to ourselves as well as our exclusive area.

The area is wonderful, large and plenty of space to walk around as well as sit, even if lots of people turn up. One of the problems I found with our previous events was competition for the few chairs/stools/corners of gardenbeds to sit and relax, and compared with the outdoor events to not be at the mercy of the weather. The general atmosphere is welcoming. I'm confident it is well worth it, if not perfect, but no location is. I started with a list of about 20 venue options :)

I'm not trying to be critical of any previous location or any organisation of such. I am just hoping to show there are always advantages and disadvantages to anywhere we might choose to go, or what we might do. I'll try to word things more humbly. I'm thankful for people's advice and concerns. For this particular event in addition I am planning some fun prize related games, that this new space is quite apt for that others are less or not suitable for, but I do realise the benefits our other venues have brought. - Posted from rhpmobile

What do people think of getting a finger food/canape package? The benefit of such is well... food! Food for everyone, regardless of whether you happen to decide to order your own food or not. However as most packages start at about $20 per person ordered in advance of the event (but the number ordered can be chosen to suit), the problem means it would have to be recovered back in the form of an entry charge to attendees. The other benefit though is it takes a big chunk out of the minimum required amount for the venue, and much less need for drinks purchases. I'd prefer attendance to be officially free, so what do people think? (This doesn't need to be actually arranged until a week or so before the event when approximate numbers are established).

  • RHP

    RHP User

An entry fee can cover some food and prizes, meaning prizes are paid for without the need for a raffle or equivalent. If there is extra it could be used by our regular event planners for future events. Of course I don't want even a small entry cost to be used if it is going to deter anyone from attending. Your thoughts please...?

From first hand experience, anyone with a dietary restriction : lactose, fructose, coeliac, gluten etc...gets a bit pissed offpaying for food they are not able to eat. Ditch the food charge, anyone who wants to eat can order their own.

person in the dietary restriction category ,until recently ,i do agree with the above ,it gets annoying when you get to split bills or pay for a lot of stuff everyone enjoys but you get to suck rice and water instead ,it is frustrating ,but maybe if an attendee stated no to finger foods before hand ,they could be exempt for the extra charge and not be included in the calculations for food , doing a great job ct ,trying to think of everyones wants and needs ,keep going ,you never know ,might snag a lovely lady with your organising skills and attention to detail ,

You're doing a great job CT. I certainly wouldn't mind an informal $5 or $10 at the door donation to assist with costs if we were to attend and I assume most others wouldn't either. I'd agree to skip the food too, many may choose to eat before they arrive anyhow. Name/alias cards I think would assist with easing people into conversation, though I've never attended a M&G yet so don't take my advice... Will need to check the calendar but the Playfuls would be very interested in attending if we can.

To allievate some concerns (including my own), I enquired about and visited some more venues (P.S. our last space was unavailable anyway). Re: smoking - New smoking laws will now prevent smoking anywhere food is served. This is now affecting outdoor areas too during food service times. Some venues have all but lost any designated smoking area (and many are unsure exactly what the regulations are or will be). HOWEVER, my first choice of venue is the only one with a sheltered and heated smoking area at all times (outdoor but mainly under verandah, radiant ceiling heaters), plus an extra outdoor section after food service. With some other venues, you're kind of screwed if it's raining. Toilets: Are downstairs, but not far within the building, and were clean and quite well presented. Flooring is timber, but because of the stairs, tram ride, short walk and perhaps a casino visit later on (as per your interest), maybe the highest of high heels not the best option? :) All this information will be repeated in the event listing and emails regardless. Also, I can choose furniture and table layout to suit mingling.

...as often they can lead to a form of public hysteria. A very good lady friend of mine (friends, note even fully dressed and never did the deed as she too holds a PhD too and we could have confused each other) called and said she was scared shitless at the dick waggers and general rude dude attitudes and could I help? Fucking 1:00 a.m. in the morning. When I walked in dressed head to cowboy boots in black and asked who I was the answer was simple.... ''I'm her best friend or your worst nightmare...you choose''. Ex-marines with deep voices are a force unto themselves I guess. Got Misch home safely back to Frankston then when asked what did she ''owe me''....did cop a good espresso for the jog home in my Saab and have a dear friend that will be there for me if I need her. I have just posted an RHP Event description. It should hopefully be approved and show on the site soon. Feel free to register interest there as well. I will keep a list of everyone expressing interest via the listing, from the forums, and through direct messages.

I think I will have all of the particulars under control prior to the event but any assistance on the actual night would be welcomed :) - Posted from rhpmobile

I've never been to a m&g but you have to start somewhere so why not here. I would like to attend. Could someone please tell me where to find the details? - Posted from rhpmobile

Go to Events on the top of the page. Forward the dough the pages to page 4 atm. Scroll down, click and register. Easy....... But just noticed your on the mobile app, so ignore all that. I have no idea with that thing....... Good luck

The mobile app works similar, I use it. Once you click on events, it lists all of them in Victoria in one list. Just scroll down to October 7 to find the Meet and Greet under my name. You can register interest there. But in any case, I've taken a note of your interest in the event and so you will get a message from me closer to the date.
